It’s difficult to predict how long virtual presentations will be required (even mandated) during the spread and response to COVID-19. If you’re presenting frequently, refining your virtual presentation skills will likely benefit you for a long time to come. Table of contents: 00:00 - What is different about virtual presentations? 00:58 - 1 - Engaging: You need to be even more engaging and enthusiastic during a virtual meeting than in-person. Why? Your entire audience has some digital device in front of them that distracts them with e-mail, voice mail, maybe even facebook. Keep up the energy and excitement… 01:36 - 2 - Organized: The more direct, structured, and uncluttered your argument is, the better you’re going to do in a presentation. have an agenda/table of contents, keep walking the audience thru it so they feel like the presentation is progressing and they know where they are so they don’t feel lost. 02:19 - 3 - Keep slides simple: More pictures… less text. If you have text they will be reading it, instead of listening to you. So if you do have text, make it so short, that you almost read it verbatim. But then you amplify with your talk track. Pictures should help make your point.. Not just random clip art. 03:40 - 4 - Point virtually: When in person you can point to your slides, with a laser pointer, or your hand. Virtually it’s hard to know what part of your slide you are talking to. Consider calling their attention to different parts of the slide. “As you can see in the picture in the lower left” If you have text… don’t just point to it and move on. Point to it.. And talk to it, or read it if it’s a quote. People can’t listen to you and read at the same time… they’ll be doing one or the other. Ideally you want to guide them, so your voice track matches the text that you are guiding them to. 04:38 - 5 - Connect with the humans in the room: Tell a joke.. Ask a question of the audience. Mention people by name. Make it seem more personal, rather than just a monolog. Realize that the best presentations are facilitated conversations. 05:36 - 6 - Handling Questions: Big - Virtual Conference Presentation Questions at the end, or in chat Medium - Board Meeting, Working Group, Big Team Pause every once in awhile for questions. It’s hard for the audience to interrupt if you never take a breath. Say something like… “I’ll pause for a few seconds before going on to the next slide for questions” -- if no questions… just keep going. Small - team - See everyone on the same screen You can ask “Is this all making sense?” 07:19 - 7 - Microphone Tips: Use a headset -- having a microphone close to your mouth will sound MUCH better. Microphones on laptops and phones aren’t very good. Etiquette: Keep yourself on mute when you aren’t speaking. You can also mute other people. 08:36 - 8 - Camera Tips: Put the camera at eye level. You can put your computer on a box. Or a phone holder. Look at the camera when you talk. It will make the viewer feel like you are making eye contact with them. You will naturally want to look at their video, or your video.. But look at the camera. Or at least alternate between looking at your notes, their video, and the camera. Stick a note above your webcam that reminds you to “Look Here!” Position yourself so the camera is seeing you from the chest or waist up, instead of just seeing your face Lighting from the front and sides much better than overhead lighting. And really don’t sit with a window behind you. PRO TIP: Stand during your presentation. You can use your kitchen counter to put your stuff on. 12:50 - 9 - Avoid Tech Distractions: Close unnecessary tabs, other applications, turn off e-mail notifications. 13:10 - 10 - Sharing Desktop, or an application. Probably safer to share just a single application so people aren’t reading your e-mail in case you forgot to turn off those notifications earlier. A study by LinkedIn found that nearly 60% of workers surveyed by said they engaged in work duties while taking time off. You need time off to disengage. You need to refresh, you need to relax. It's not really a vacation if you are checking in with the office every day. Want to go on vacation without feeling the need to work while you are away? Just follow these tips! 1 -Plan your vacation as early as possible. Put it on your calendar, your teams calendar, shout it from the rooftops. 2 - Coordinate ahead of time with your boss who will cover your tasks while you are away 3 - Plan to complete all of YOUR tasks a couple of days before you depart… don’t save any work for the last day.. That’s always going to be a busy one! 4 - Tell your team you will be unreachable, but give them a “special” way to reach you. 5 - Set an out of office reply for your e-mail, and your voicemail. 6 - Spend some “turnover” time with your backup before you go to make sure they understand everything that is going on and what they need to cover. Make sure you arm your backup, or your team with enough information as possible so they can make decisions on your behalf. 7 - Don’t check your e-mail unless you’ve been contacted the “special” way. 8 - Plan to spend the first morning after you return from vacation going through e-mail… but start from the newest and work backwards. ✅ Want to see more Office Survival Guides? Traveling makes you better at work! First reason: A happy employee is a good employee. The US Travel Association conducted a study that found that taking time off leads to higher moral, and overall higher productivity. Travel improves happiness with the company you work for, the job itself, and even your relationships. This even works if you’re a small business owner! A study from Intuit Corporation (that makes Turbotax and Quicken) found that 82 percent of small business owners experienced an increase in their own performance after returning from a vacation. 2 - More creative A study from the University of British Columbia found that as our mind wanders, brain areas associated with complex problem-solving are highly active. This can lead to eureka moments: flashes of insight that come out of periods when the mind isn’t focused on the problem. Traveling places us in environments where we're exposed to different ways of thinking, which can inspire us to solve our problems in ways we would've never considered before. 3 - Communication Skills We all know communicating at work isn’t easy. Well it’s harder when you’re traveling and people speak a different language, verbal and body language. While traveling you will definitely have communication challenges. You need to learn how to communicate simply, and without words. Overcoming those communication challenges and barriers can help you back at work. Travelers know how to communicate with anyone, including the CEOs of multimillion-dollar corporations, regardless of status, age or ethnicity, because they know how to find common grounds with others. 4 - Management Skills Budget, Schedule, organization Where to go, when to go, with whom. To be a good traveler you have to be a good planner. 5 - Problem Solving Skills Travel often has hiccups, delayed flights, bad weather, AirBNBs that don’t exist. The plan rarely goes according to plan… working through these travel issues increases your problem solving skills. 6 - Being worldly is impressive 7 - It’s good for your boss to miss you Assuming you do a great job at work, they’ll appreciate you that much more when you come back from some time off. If you never leave, they might never know all the stuff that you do. You won’t seem lazy, because you’ll have watch my video about how to be seem lazy at work 8 - Helps you get promoted Really… people who leave their vacation unused are 23 to 27 percent less likely to receive a promotion, and 78 to 84 percent less likely to receive a raise or bonus compared to those who do take their deserved time away. 9 - It’s good for your health You can spend time on your vacation to go for a swim, hit the gym, go for a walk, get some fresh air, eat right. I share 10 tips on how to run effective meetings, that won’t waste your attendees time. Meetings can actually be a very effective use of time, if they are run properly! Follow these tips and your attendees will actually enjoy attending your meeting! 1 - Begin on time Which means you get there early to set up. Phone bridge, VTC, all ready go at meeting start time. 2 - End on time Or early 3 - Have a clear objective To make a decision, provide feedback, generate a document, provide situational awareness 4 - Agenda And stay on it. Your job as the meeting organizer is to keep things moving Schedule the meeting in 15 minute increments. Yes.. a meeting can be 15 minutes or 45 minutes long. 5 - Use a timer Digital, or sand 6 - Correct attendees All attendees should have a role.. No bumps on logs. 7 - Action Items And review them 8 - Take 1 on 1 discussions offline. 9 - Ground rules No electronics Phones on silent Only 1 conversation at a time 10 - Try a “stand up” Meetings run too long? One of the best ways to convince your boss to increase your salary is to show that you aren’t being paid “market value” Present data points… show some research about average salaries in your job area and region. Bring some print outs. Show that you are under paid compared to other people. Name a number. Don’t just say you want “a raise.” Either give a target salary, or a percentage increase. Don’t give a “range” 3. Show the boss that you are “worth more” -- You brought in extra sales, you closed extra deals, you do things 3 times faster than everyone else. It would help if you’ve been proactive already about sharing all your achievements with your boss, because then they’ll already know about the great work you’re doing, and you’re just summarizing it for them. Present a case about how you go “above and beyond”... write this case out so it’s easy to present when you actually discuss it with your boss. And practice it! It can be nerve-racking to ask for more money. It will help you do it if you practice it… out loud! 4. Don’t make your case based on how long you’ve “existed” in the company. Make it based on results you’ve generated. Don’t have an entitled mentality. Be confident, but don’t be arrogant. Remember… it’s a discussion. I’ve done my research… these are the numbers. It would appear I’m being underpaid relative to my peers elsewhere. Show graciousness, enthusiasm for the work and the company. Definitely don’t consider this an argument. 5. Don’t make your case on why “YOU” need the money. Mortgage, car payments, kids school tuition are all not good reasons to ask for more money. Or at least not a good reason for why your boss should give you money. 5. If you’re asking for $10K -- consider a fall-back position. If your manager says they can’t give you $10k, are you OK with $5K? Or $5K now and $5k later? How about more perks? More time off? Your own personal nap pod in your office? 6. If you work in a large organization, Don’t expect your boss to give you a raise on the spot. They likely will have to seek approval. Consider drafting this is a letter that you can leave with your boss so they can take your “points” up to their boss. And if you hear no the first time… don’t take that as a “no” forever. Ask If a raise isn’t possible at the moment, when will it be possible? And ask again later. 7. Don’t threaten that you’re going to leave, unless you’re prepared to make good on that threat. Most managers have found that by the time someone has “another offer” somewhere, it’s not worth it to try to match it. They are likely out the door anyway. If you do want to try and take this approach, you could say ‘I interviewed… it was a great offer… I turned it down, because I really like it here…. But it got me thinking… what are my prospects around here’ 8. Time your question: If your company is barely keeping their doors open due to COVID, now might not be a good time to ask for a raise. Consider asking for a raise in conjunction with your regular “performance review” (they’ll already be receptive). And you’ll have already done some work on your “great work” over the past year. Or after you complete an important project and they’re already impressed with you. You also want to do it when your boss is in a good mood. If they’ve had a bad day, they’re tired, etc… then it’s not a good time. 9. Be prepared for new responsibilities Boss says: OK -- I’ll give you more money… but I’m going to ask for you to do more Now if you’ve found out there’s a snowballs chance in hell that you’re getting raise, you might be in the market for a new job. Let's face it, most resumes are lousy.. including yours. Watch this video and learn some tips to polish your resume so that recruiters and hiring managers will pick your resume out of the pile for their next round of job interviews. Resume basics: Ideally: One page -- 2 pages max. Simple format. Black. Tailor for the job Contact info and including your name, phone number AND e-mail at the top List your online portfolio, code repository, etc Always include your education. Fresh out of college… put it at the top. Experienced, put it at the bottom. Include all post-secondary education. Most recent degree first. The more recent of a graduate you are… the more detail about it. GPA is really important for your first job at out of school.. Not so much after 20 years. Work Experience: List in reverse chronological order Employer, position, and dates employed First sentence/bullet, a description of your role Next: Accomplishments NOT responsibilities What did you do? Past tense… results… impact. Metrics, e I did A, increasing something by B%.. which resulted in C. Use plain english. No acronyms. Optional final section (important for students) Involvement in student groups Patents Publications Conference Presentations Don’t include: Summary of you: Fast paced individual that is skilled in underwater basket weaving, and meta-physical rope climbing. As someone who has been working remotely for the past year, I’ll share 11 things you should know if you are considering working from home or are currently working remotely. Some people say working from home is the best thing ever… and other people say that working from home doesn’t really work. Show notes: It's not good for extroverts…It’s easy to get cabin fever where you realize you haven’t talked to another human for days. no happy hour, no team lunch, no “water cooler talk”, no discussing what happened to the super bowl last sunday. (may want to work out of Starbucks a couple hours a day, or find some other communities to be part of, such as volunteer, church). Make extra effort to call your coworkers and just have some chit chat. It's not good for introverts…. It’s even harder for introverts to insert themselves into the team, or be “seen” by management (volunteer to go into the office once in a while) Hard to feel what the company culture is like... End up working longer hours …especially for those on the west coast. People expect you to start working at 5 or 6 AM and work until 5 or 6 PM. You’re expected to answer phone calls right away, reply to emails right away...If you miss a phone call you can’t say “oh because I was talking to so and so… “ Can’t use “traffic” as an excuse for being late… there’s no getting out of “overslept” Sometimes things are less efficient, much easier to just walk down the hallway and talk things through instead of texting back and forth. It is also much easier to be able to “read faces” during meetings If the rest of your team is in another office together, sometimes you’ll feel as if you are being left out of decision making. They didn’t deliberately leave you out, but for those in the office they may just ad hoc decide things without you. In general, probably don’t get much visibility in the company even if you are the most charismatic person in the world, hence harder to move up the corporate ladder (on the other hand, management might also “forget” to lay you off when bad times come) Not good for weight watching … constant access to your own kitchen… However you CAN beat this with increased flexibility for exercise. Pay for your own heater/air conditioner/coffee/ergonomic chair (very expensive)….may be hard to find a quiet work space if you have kids at home. no one to throw you baby shower/retirement party/… Often more difficult to focus in your house. But the problem with all the freedom is sometimes your coworkers might think all you’re doing is watching “Wheel of Fortune” all day and not actually working. And the real problem with that is for those people, perception is reality. You don’t want people to ask “Is this person ACTUALLY working?” Instead you want them to think “This person is really working hard when they’re at home!” 1. Join all meetings BEFORE they start, and if there is a roll call make sure to announce yourself. Having a hard time getting to meetings on time? Print out your daily schedule and stick it next to your monitor. 2. Try to provide AT LEAST ONE bit of input per meeting. Otherwise.. Why were you even on the call? 3. Turn your camera on so people can see you’re paying attention Wear something professional looking… and no… changing in to your daytime pajamas doesn’t count Be in a room that looks workish… don’t have a TV running in the background 4. Take your phone and your headset. You can do it while you’re on the meeting! 7. Respond to phone calls you can’t answer with a text Finishing up another meeting. I’ll get back to you in 30 minutes! That meeting could be lunch! But just let them know you are aware they called, and a time you’ll reconnect, instead of leaving them to wonder. 8. Respond to all e-mails by the end of the day. Even if the response is “Got it.. Will get back to you tomorrow or later this week” 9. Volunteer for tasks occasionally Or even suggest tasks… don’t wait to be told what to do. Sometimes remote workers are out of sight and out of mind. Which could be bad when it comes to evaluation time and you don’t have much to show for it. 10. This video is about what *NOT* to include in your resume. Resumes that lead to job interviews are ones that are carefully crafted to leave out the fluff and to leave out anything that might disqualify you from the job. Watch this video and then go update your resume immediately. Episode notes: 1 - The objective statement… you know… this is the one at the top of the resume where you write that you’re looking to find a fast paced job in a challenging environment where you can grow your skills as an underwater basket weaver. This statement never gets anyone hired, it is only served to disqualify you. The resume reviewer looks at it and says… ah… too bad… we have openings for basket weavers… but we don’t do it underwater. So this resume goes in to the trash. 2 - Your picture. I know Social Media and Linkedin tell us that we always need a picture with everything we do or touch now… but unless you’re applying for a modeling job the hiring folks don’t really need to see your picture. In fact it’s often viewed as tacky and unprofessional. 3. Hobbies and interest UNLESS they are relevant to the job Do you like to play the harmonica in your spare time? Well unless you’re applying for a job in If you’re applying for a software development job and one of your “hobbies” is developing indie video games for mobile phones then absolutely put it in! However you can leave the fact that you participate in those civil war reenactments on weekends for your facebook page. Now this won’t disqualify you… but it’s really just a waste of space on your resume… and a waste of the resume reviewers time to read it. 4. References Many people list references on their resume… if the recruiter wants references they will ask you for them. This is another one that serve to disqualify you depending upon who you list.. I once reviewed a resume where the applicant listed their DENTIST as their reference. Most employers don’t bother to contact references… particularly the ones you list… because you’re only going to list the positive ones. 5. Soft skill buzz-words You know… things like “Critical thinker” “Highly Motivated” “Team Player” Instead of using those buzz words, demonstrate how you are a team player by instead describe how you’ve worked with large teams and coordinated across many different people. CareerBuilder asked 2,201 US hiring managers: "What résumé terms are the biggest turnoffs?" They cited words and phrases such as, "best of breed," "go-getter," "think outside the box," "synergy," and "people pleaser." 6. I It’s your resume… it’s about you… just leave off I. Even worse is “we” -- because then the resume reviewer doesn’t know what YOU actually did. And even even worse is writing in the third person…. And listing your name “Chris invented a new machine for underwater basket weaving” 7. Unprofessional E-mail Addresses Your AOL or Compuserve e-mail addresses Recruiters are looking for tech-savvy candidates. Aol and Compuserv addresses just scream that you haven’t really embraced this whole internet thing. Also if your e-mail is “HandsomeDude44” you might want to consider just getting one that’s your first and last name @ gmail.com. DEFINITELY not your current companies work e-mail address 8. Really old job positions Today it doesn’t really matter what you did more than 15 years ago. Especially if your previous jobs were working at McDonalds and you’re now in the nursing field. It’s better just to leave those old unrelated positions off, and use more of the space on your resume for your most recent experience. 9. Big words Your goal should be to make your resume as easy to read as possible. So you don’t use like “Myriad options” when you could just say “Many options” -- but the way… if you don’t know what the word Myriad is… it means many… and please don’t say “A myriad of options” that doesn’t make any sense! In this video I’ll share 4 do’s and 4 don’ts to help convey your career goals effectively. There could be 3 ways this conversation comes up…. 1 - If you work in a large organizations, you’ll likely have some sort of regular performance review where your boss will ask you to write some sort of “Career Goals.” 2 - This question often comes up interviews… where they ask you “What are your career goals? Or where do you see yourself in 5 years?” 3 - Or you bring it up Why: If your boss knows what your goals are… they may take actions to help you achieve it, or may give you suggestions on actions you should take to achieve it. In the flip side… they might not… but they certainly CAN’T if they don’t know what your goals are. Don’t: 1 - Directly say that you want your boss’ job. It just makes things weird. Unless you know for sure your boss is leaving soon and is looking for a replacement. 2 - Say you want a position that there is only one of in the organization, especially if somebody else JUST got that position. “I want to be the company’s CIO in the next 5 years”. It simply isn’t something your boss can help you achieve. If you REALLY want to be a CIO and that title is important to you… it might be better to look outside because when you look across ALL companies there are lots of CIO openings… at your employer, likely only one. 3 - Do NOT write your goal is something completely unrelated to your employer. For example, if your job right now is a software engineer, your goal shouldn’t be a “celebrity chef” -- your boss might just tell you to leave their office immediately and go pursue your real passion. Your boss can’t help you achieve this, and it will just put doubts in their head about whether you are committed to the organization and whether you’ll be quitting soon. 4 - Don’t be negative in your goals: For example, do not write “I don’t like politics, therefore I do not want to be involved in budget meetings, vision meeting, any foo foo meetings…. ✅ Want to see more Office Survival Guides?
